Here are some definitions that will help you understand your Xref usage better.

Total profiles represent the current number of candidates, employees, ex-employees and check recipients.*
Talent pool represents the overall count of candidates and ex-employees who are targets or potential targets for hiring.
Turnover cap is the quantity agreed as part of your subscription which allows you to send the first reference or exit request to a profile.

*This number may be reduced if your organisation has requested periodic data purges or if a data subject has requested to be forgotten.
